SWAE Marketing LLC ("SWAE," "we," "us," or "our") operates the SWAE Marketing Dashboard platform at panel.swae-marketing.com. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our platform and integrated services, including our Zoom integration.

1. Information We Collect

Account Information

When an account is created for you on our platform, we collect:

• Name, email address, phone number, and job title
• Company/organization name
• Profile photo (if uploaded)
• Login credentials (passwords are hashed, never stored in plain text)

Integration Data

When you connect third-party services, we collect and store:

• Zoom: OAuth access token and refresh token (encrypted at rest). We use these solely to create, update, and delete Zoom meetings on your behalf. We do not access, store, or process Zoom meeting content, recordings, transcripts, chat messages, or participant data beyond what is necessary to create and manage meeting links.
• Google Calendar: OAuth tokens to create calendar events and check availability.
• Google Analytics / Search Console: Read-only access to website performance data for reporting.

Usage Data

We collect information about how you use the platform, including pages visited, features used, and actions taken. This data is used to improve the platform and is not shared with third parties.

2. How We Use Your Information

We use collected information to:

• Provide, maintain, and improve our platform and services
• Create and manage Zoom meetings when you schedule calls through the dashboard
• Sync meetings with your Google Calendar
• Generate marketing performance reports
• Send notifications about tasks, meetings, and project updates
• Communicate with you about your account and our services

3. How We Share Your Information

We do not sell, trade, or rent your personal information to third parties. We may share information in the following circumstances:

• Service providers: We use third-party services (Cloudways for hosting, Cloudflare for security/CDN, SMTP providers for email) that may process data on our behalf under strict confidentiality agreements.
• Zoom and Google: When you authorize these integrations, we send API requests to create meetings and calendar events. Only the minimum data necessary (meeting title, time, duration, attendee emails) is transmitted.
• Legal requirements: We may disclose information if required by law, regulation, or legal process.

4. Data Security

We implement industry-standard security measures to protect your data:

• All data in transit is encrypted using TLS 1.2 or higher
• OAuth tokens (Zoom, Google) are encrypted at rest using AES-256-CBC encryption
• Passwords are hashed using bcrypt
• Access to production systems is restricted to authorized personnel
• The platform is hosted on Cloudways (DigitalOcean) with managed security patches

5. Data Retention

• Account data: Retained for the duration of your account and business relationship with SWAE Marketing. Upon account termination, data is deleted within 90 days.
• OAuth tokens: Stored only while the integration is active. Tokens are immediately deleted when you disconnect an integration.
• Meeting data: Meeting records (title, time, status, meeting links) are retained for business reporting purposes. No meeting content, recordings, or transcripts are stored.

6. Your Data Rights

You have the right to:

• Access: Request a copy of the personal data we hold about you.
• Correction: Request correction of inaccurate or incomplete data.
• Deletion: Request deletion of your personal data. We will comply within 30 days, subject to legal retention obligations.
• Portability: Request your data in a machine-readable format.
• Withdraw consent: Disconnect any third-party integration at any time through your dashboard settings. This immediately revokes our access and deletes stored tokens.
• Opt-out: Manage notification preferences through your dashboard settings.

7. Zoom-Specific Data Practices

Our Zoom integration operates as follows:

• We access Zoom solely to create, update, and delete meetings via the Zoom API
• We store only: Zoom OAuth tokens (encrypted), Zoom meeting IDs, and Zoom join URLs
• We do NOT access, store, or process: meeting recordings, transcripts, chat messages, meeting participant details, or any Zoom meeting content
• We suppress Zoom's native email notifications (email_notification: false) and send our own branded notifications instead
• You can disconnect Zoom at any time from your Calendar settings page, which immediately deletes your stored tokens

8. Cookies

We use essential cookies for authentication and session management. We do not use advertising or third-party tracking cookies.

9. Children's Privacy

Our platform is not intended for individuals under 18. We do not knowingly collect personal information from children.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the updated policy on this page with a revised "Last updated" date.
